Be concise

Being concise allows you to say exactly what it is you want to say by avoiding unnecessary padding and keeping your statement simple and to the point. In order to do this you need to decide what it is you want to say and say it specifically and directly. This keeps misunderstandings to a minimum. For example, you need a report completed by one of the staff that you line manage by the end of the week and if it is not completed, you will be held responsible. You do not need to be apologetic or hesitant about asking, or justify yourself by giving long-winded explanations. Nor do you do need to play on people’s friendship or good nature, or sell the request by flattery. Keep your request, direct, short and to the point by asking the question, ‘Can you get that report to me by Friday?’
